Private medical, dental, and therapy practices spend too much time on appointment management, patient reminders, and admin. We automate the routine patient communication and back-office work — keeping patient data entirely within your control.

Interested in automation for Healthcare?
Tell us what you'd like to automate and we'll come back to you within one working day.
A well-run healthcare practice has two distinct problems happening simultaneously. The clinical side requires full attention and careful judgment. The administrative side — appointment reminders, follow-up messages, rescheduling, patient intake forms, referral letters — runs in parallel and takes far more staff time than it should.
The clinical work cannot be automated, and should not be. But a significant proportion of the administrative work can run itself with the right systems in place.
We work with private GP surgeries, dental practices, physiotherapy and therapy clinics, and other healthcare businesses to identify the routine work and build systems that handle it automatically.
What we automate for healthcare practices
- Appointment reminders — automated messages by SMS or email in the days and hours before each appointment, reducing no-shows without anyone manually sending them
- Rescheduling flows — when a patient cancels, an automated sequence offers available slots and handles the rebooking without involving reception
- Patient intake forms — forms that go out ahead of a first appointment and feed directly into your practice management system when returned
- Follow-up messages — post-appointment messages asking about recovery or prompting a follow-up booking, sent on a schedule
- Referral letter preparation — templated drafts populated from clinical notes, ready for clinician review and sign-off
- Internal team alerts — notifications when a patient’s record is updated, a form is returned, or a trigger condition is met
The shape of the automation depends on what you are currently doing manually. We map that out before building anything.
Keeping patient data exactly where it should be
This is the question every healthcare provider asks, and it deserves a direct answer.
Patient data is subject to strict GDPR requirements, and the ICO takes a dim view of health information being processed through third-party systems without proper consideration. For practices where data leaving the network is not acceptable — or where patients reasonably expect their information to stay within the practice — we advise on and configure on-premises AI.
Local models run on hardware inside your building. Nothing is sent to an external cloud service. Patient records, clinical notes, and correspondence are processed entirely within your own infrastructure. The hardware is yours. The data does not leave.
This applies in particular to AI-assisted tasks like summarising clinical notes, populating referral letter drafts from records, or categorising patient correspondence. These are tasks where AI adds real value — but only if the data handling is beyond question.
A note on regulatory compliance
Automation in healthcare requires careful implementation. We do not make clinical decisions, and we do not build systems that do. Every automated message, form, or workflow is reviewed and approved by you before it goes live. The system executes. The clinical judgment remains yours.
If you are wondering whether a specific task is appropriate to automate, that is exactly the conversation to have early. A half-hour call is enough to work through what is possible and what is not.
